Privacy Policy — Simonvet

1. Overview

Simonvet Inc. (“Simonvet”, “we”, “us”) operates the Simonvet platform. This Privacy Policy explains how we collect, use, disclose, and protect your personal information in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy legislation.

2. Information We Collect

We collect the following categories of personal information:

Account information: name, email address, phone number, province of residence.
Pet information: pet name, species, breed, date of birth, weight, sex.
Appointment data: booking details, consult notes, prescription records.
Payment information: processed by Stripe. We do not store credit card numbers.
Clinic information: clinic name, CVO accredited facility name, address, veterinarian names and CVO registration numbers.
Usage data: pages visited, features used, device and browser information.

3. How We Use Your Information

We use your personal information to:

Provide and operate the Platform (bookings, consults, prescriptions).
Process payments and issue refunds.
Send transactional emails (booking confirmations, reminders, prescription notifications).
Comply with legal and regulatory obligations, including CVO and Health Canada requirements.
Improve the Platform and user experience.

4. Consent

By creating an account and checking the PIPEDA consent box during registration, you consent to the collection and use of your personal information as described in this Policy. You may withdraw consent at any time by contacting us, though this may affect your ability to use the Platform.

5. Disclosure of Information

We share your personal information only in the following circumstances:

With clinics: When you book an appointment, the clinic receives your name, email, phone, and pet information to provide veterinary care.
Service providers: Stripe (payments), Daily.co (video), Resend (email), Clerk (authentication). These providers process data on our behalf under contractual obligations.
Legal requirements: When required by law, court order, or regulatory authority.

We do not sell your personal information to third parties.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. Veterinary consultation records and prescriptions are retained for a minimum of 5 years in accordance with CVO record-keeping requirements. You may request deletion of your account, subject to legal retention obligations.

7. Data Security

We use industry-standard security measures including encryption in transit (TLS), encrypted databases, and access controls. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Your Rights Under PIPEDA

You have the right to:

Access your personal information held by us.
Request correction of inaccurate information.
Withdraw consent (subject to legal and contractual restrictions).
File a complaint with the Office of the Privacy Commissioner of Canada.

9. Children's Privacy

The Platform is not intended for individuals under 18 years of age. We do not knowingly collect personal information from minors.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or a notice on the Platform. The “Last updated” date will be revised accordingly.
